Most office fit-outs in Nairobi go wrong for the same reason. And it’s rarely bad workmanship. The real problem is a scope that was never fully defined, so the client and the contractor end up working from two different pictures of the finished space.

Here’s what to look for—and what to ask—before you commit to an office fit-out contractor in Nairobi.

What a complete fit-out scope actually includes

A proper fit-out quote should account for:

Demolition and strip-out of the existing layout
Partitioning in aluminium-and-glass systems
Ceilings (gypsum boards, grid systems, or exposed treatments)
Flooring (carpets, vinyl, tiles, or engineered finishes)
Electrical and data cabling
Lighting design and installation
Joinery for reception desks, storage, and pantries
Painting and wall finishes
Branding elements (feature walls, signage, graphics)
Final cleaning and handover

If a quote you’re comparing is noticeably cheaper than the others, check which of these lines are missing. In our experience, the items most often left out are data cabling, ceiling access panels, and making good after the electricians. Every one of them comes back as a variation later.

The things that delay Nairobi fit-outs

1. Landlord Approvals

Most commercial buildings require drawings to be submitted and approved before any work starts. Some also restrict working hours to evenings and weekends. Ask your contractor whether their programme assumes daytime access. If it does and the building doesn’t allow it, your timeline can easily double.

2. Service Lifts and Access

Moving gypsum boards and glass panels to the ninth floor of a building with one working lift is a real constraint, not a minor detail. This affects scheduling and labour costs.

3. Power and Data Planning Done Late

Socket and data point positions must be fixed before partitions close up. Changing them afterwards means chasing finished walls, which adds cost and delays.

4. Furniture Lead Times

Workstations ordered after the fit-out begins often arrive after it ends. Order early and coordinate delivery with the main programme.

Questions worth asking any contractor

Before signing, ask:

Who supervises the site day-to-day? Is that person on other jobs at the same time?
What does the programme look like? Request a timeline in weeks with milestones, not just a single completion date.
What happens if the scope changes? Get the variation process and pricing in writing.
